Set Up a New Co-Owner

Create a New User for the New Co-Owner
  • Enter all their relevant contact data (form/instructions). 
  • Be sure to enter the relevant purchase date (this is what transfers the unit from the prior owner)
Create a "Contact Manager" Request The purpose of this is to have a listing of co-owner data that can be manipulated for various purposes OUTSIDE the CCIS.
  • Create a New Request
    • Requester: New Unit Owner 
    • Regarding: Their Unit
    • Request Title: Create Contact Request
    • Request Description: This request is used to generate a CSV file with the co-owner contact information. Contact Information can then be retrieved by running a Requests Report where Manager = "Contact Manager" then Export it to a CSV. Sort/Select the appropriate fields and use that information accordingly. 
    • [Submit Request]
  • Reassign the New Request
    • Open the New Request
    • [Reassign Request]
    •  Assign to: Select "Contact Manager"
    • Message: This "Contact Manager" user is only for the purpose of filtering co-owners for a list of their contact information.
    • [Reassign]
  • Close the Request
    • Open the Request (no longer "New")
    • [Close Request]
    • Closing Message: Contact Record.
    • [Resolve]
Remove the "Contact Manager" Request for the Prior Owner The purpose of this is to remove the prior owner from any future co-owner data used outside CCIS.
  • Re-Open the Contact Manager Request
    • Run a Requests Report
      • Requester: Select the prior owner
      • Manager: Select "Contact Manager"
      • [Apply]
    • Locate and Open the Request with Title: Create "Contact" Request
    • [Re-Open Request]
    • Re-Opening Message: Sold Unit
    • [Re-Open Request]
  • Reassign the New Request
    • If necessary, locate the Request in the Current Requests listing
    • [Reassign Request]
    •  Assign to: Select the Management Company
    • Message: Contact record no longer needed.
    • [Reassign]
  • Close the Request
    • If necessary, locate the Request in the Current Requests listing
    • [Close Request]
    • Closing Message: Closing Contact Record.
    • [Resolve]
Disable the prior Owner
  • Open the prior owner's record (If the prior owner isn't obvious, open the unit record. The prior owner should be listed under Past Owners. Follow the link to their record.)
  • [Edit User]
  • If any forwarding information is available for the prior owner, enter it now.
  • [Disable User]
