Vendor - Review Inquiry Details

Inquiry # The identifier for this Inquiry. If this inquiry converts to a Work Order, this number remains the same.
Task The title or subject of this Inquiry
Description Additional details associated with the Inquiry. When providing your response, please do include the estimated cost, a brief description of the work and the anticipated time frame for completing the work.
Date Created For the Inquiry; will not change when converted to a Work Order.
Status
  • New - until you have reviewed it once.
  • Open - after you have reviewed it once.
  • Pending Approval - after you have submitted a quote, until the manager of the inquiry agrees (converts it to a Work Order) or disagrees (and closes the inquiry)
  • Closed - no longer an active inquiry in the system.
NOTE: An Inquiry can not be re-opened.
Inquiry Manager The HTCA contact that is responsible for this Inquiry. The only possibilities are the Management Company and the current Board Members.
Inquiry Vendor You. An inquiry can only be assigned to one vendor... the vendor can never be changed.
Waiting For As the Inquiry bounces back and forth between the Manager and the Vendor (asking for quote, submitting quote, approval, etc.)... this reflects the one who the Inquiry is currently waiting for.
Request # This is the Request that generated this Inquiry. The Request was created because a Co-owner reported a problem that may require your intervention.
Unit The address and owner of the unit with the reported problem.
NOTE: Multiple phone numbers are listed from the owner's contact record - they are in the prioritized order given by the owner. If there are any overrides to this order, they may be listed in the Inquiry History at the bottom of this page.
Asset The building number for this unit.
Estimate This will be filled in after you submit a quote.
Budget Category Used by HTCA to categorize costs associated with asset maintenance. This is usually selected when the Inquiry is converted to a Work Order.
Follow up Date Used by HTCA to communicate deadlines.
Finish Date Date the Inquiry/Work Order is closed. In the event the Work Order is re-opened, the finish date will be emptied until the Work Order is closed again.

Inquiry History

Date Date the entry was posted.
NOTE: Entries are listed in reverse order... newest at the top of the list.
User The person who made the entry.
Action Menu Item The "button" the person clicked that initiated the entry.
Comments Their comments when completing the action.
